Surgery Scheduler (Cardiothorastic Surgery - Heart Institute)

To perform daily scheduling of all surgical cases with the patient's family, operating room, and/or hybrid catheterization lab for the Division of Cardiothoracic Surgery.

·Surgery Coordination and Scheduling
Works with patient families and surgeons to obtain surgical date and any pre-surgical testing necessary. Answers customer's questions regarding all aspects of the scheduling process. When necessary coordinates surgery with other divisions within CCHMC. Accurately schedules preoperative consultation visit with surgeon and surgical procedure in EPIC. Completes surgical form and enter surgical data into multiple databases. Collaborate with Operating Room Scheduling Office on all surgical cases entered into EPIC. Prepares surgical packet and letter to mail to parents/guardians.
·Data and Data Systems Management
Creates a new medical record when entering data for preoperative visit and surgery in EPIC. Enters demographics into EPIC and CardioAccess. Enters precertification/authorization number into EPIC, division's database and scheduling form
·Patient Precertifications
Obtain precertification/authorization from insurance carrier for patient's surgical procedure(s) via telephone call or online. Obtains benefits and eligibility for each patient from insurance carrier via phone call or online.
Serves as a resource for other administrative support and supervisor on new processes for scheduling surgeries in EPIC. Remains current on scheduling protocols, including monthly updates from Lead Scheduler Meetings.
·Department and Administrative Support
Faxes scheduling form to the admitting department and fax copy of OR schedule to various departments weekly. Answers phones along with Administrative Assistant as needed. Exercises professionalism when communicating with families, other CCHMC divisions, and outside physician offices

·High School Graduate OR Equivalent
·2 years experience within a complex, high volume scheduling center
·Knowledge of ICD-9/10 and CPT Codes

·Experience with Epic
·Previous experience obtaining precertification from third party payors
