PURPOSE OF POSITION: To support the Clinical Space Expansion Project Leadership on Medical Equipment Planning and Transition Planning through the duration of the project. To support and coordinate all aspects of Medical Equipment Planning including budget, equipment specification, and adherence to funding guidelines. To support Transition Planning including simulation, training, and move execution.
MAJOR DUTIES AND RESPONSIBILITIES:
Assist in daily coordination of Medical Equipment Planning including collaborating on project plans, budgets, and resource requirements. Collaborate with project team, internal stakeholders, and external partners to ensure effective coordination and prioritization of Medical Equipment Planning and Transition Planning activities. Serve as a liaison and point of contact between clinical and operational stakeholders, external consultants, and project leadership. Track progress and prepare internal reports. Prepare documents to support project management and reporting. Prepare and distribute project communication to internal and external clients. May provide some administrative support such as arranging meetings, developing agendas, preparing meeting materials, taking meeting minutes and preparing progress reports.
Assist with fiscal responsibilities of the project as requested. Support project leadership in adhering to budget, scope, and existing equipment reuse strategy. Support the enforcement of CCHMC's equipment standards, the project's funding guidelines, and the project schedule. Monitor project budget expenditures; identify, evaluate, research and/or manage variances/problems. Provide the project leadership with regular budget updates and forecasts.
Develop, manage and lead relationship building with all Cincinnati Children's departments, outside agencies/vendors with which the department interacts. Develop and participate in collaborative community based activities throughout the organization. Becomes member of multi-disciplinary team to coordinate process and flow. Participate on CCHMC interdepartmental and/or intradepartmental committees as appropriate.
Communication and Coordination:Manage dissemination of critical information; ensure that key decisions and other crucial information are conveyed to appropriate recipients. Participate in design meetings including support on meeting materials and logistics.
Research and Analysis:Support procurement through necessary analysis on equipment specifications, suggested manufacturers, models, and related costs. Work with project leadership to research and identify utility and space requirements of approved equipment. Collaborate with end users to validate equipment needs and support decision making. Synthesize research and prepare necessary reports for Project Leadership.
Logistics and Execution:Support Transition Planning activities with a focus on facility operations, integration of care models, and end-user training and education. Assisting the creation of operating manuals relating to people and material flows and processes. Develop and execute activation and occupancy plans.
